Bill every machine by what it actually counted
Service contracts for the equipment you rent out or maintain. Counter readings, or an estimate when one is missing, become the monthly invoice, with the annex of indexes your customer asks for.
Four steps, from installation to invoice
1. Install the equipment
At the customer's address, with the starting index of each counter, then add it to the customer's contract.
2. Read the counters
Enter the readings of the month. Where one is missing, the estimate from the counter's history fills the gap.
3. Prepare billing
Each contract line takes the difference of the readings not yet billed. You review the quantities before anything is invoiced.
4. Invoice with the annex
The old and new index appear on the invoice line and in an Excel annex that justifies the quantity.
The difference
A contract that knows its machines
More than a subscription
A subscription repeats a fixed amount. Here the quantity comes from the counter: pages printed, hours of operation, units consumed. A fixed fee can sit on the same contract.
Customer equipment, not internal assets
Each machine has a customer, an address, a contract and a history of every installation, transfer between contracts and removal.
Readings are a control
A contract type can require readings, so a contract is not billed until its counters have been read.
The flow
From the counter to the customer invoice
Built on Invoicing, Products and Inventory, with standard Odoo customer invoices.
Contracts with billing cycles
A type, a billing cycle, a currency and a journal per contract, and service lines that are either fixed or tied to a counter.
Automatic billing run
A scheduled job prepares and invoices the contracts due in the period, company by company, and skips those already prepared.
Invoices grouped your way
One invoice per customer, per contract or per contract line, and the invoice date set to the date of the last reading included.
Prices changed in bulk
Update the service prices on many contracts at once, or spread an amount across contract lines by quantity or by value.
Counters from templates
The equipment category decides which counters each machine gets and which service bills each of them.
Readings and estimates
The reading form proposes the value estimated from the counter's history. A reading entered as an estimate stays marked as one.
Install, add, remove
Guided operations, each with the counter index of that moment. Removing a machine prepares the consumption left to bill and closes its contract lines.
Meter annex
An Excel annex of the invoice with the old index, the new index and the difference for each machine.
The serial creates the machine
A new serial number of an equipment product creates the equipment record, ready to be installed.
Extensions
Add only what your service team needs
Separate modules, each on top of the contracts and the equipment.
Consumables per machine
The consumables used by each machine, their total cost, and an efficiency report that sets the usage against the expected shelf life.
Service requests and orders
Requests from customers with a priority and a work center, service orders with operations and components, preventive or corrective, and the handover report.
Warranty and reconditioning
Repairs under warranty and reconditioning, with the parts taken from stock, the sales order and the invoice.
Field tasks
Interventions as project tasks, with the machine, its location, the checks, the measurements and the parts used.
Frequently asked questions
Does it need Odoo Enterprise?
No. It works on Odoo Community, with Invoicing, Inventory and, for the service orders, Sales. Subscriptions and Field Service are not needed.
Can a contract have a fixed fee and the pages?
Yes. A contract line is either a fixed service or a service tied to a counter, and both are billed on the same invoice.
What if a customer does not send the reading?
Enter the estimated value, which stays marked as an estimate, or set the contract type to wait for the reading before billing.
Is it ready for production?
Yes. The modules on this page are marked stable; they are available for Odoo 19, and most of them for Odoo 20.
